ColorManager
INTRODUCTION
The ColorManager XTension is a powerful add on software module for QuarkXPress. It allows users to identify, control and easily manipulate any color usage within their documents.
Allows the user to easily 'Search and Replace' any color that appears in: Text, Lines, Frames, or Backgrounds.
When searching for a color, the user can specify what percentage shade of the color to look for. When replacing a color, the user can specify what percentage shade the resultant color should be.
You can change individual occurrences of a color or globally change all occurrences in the document.
The Process separation settings for all colors in the document can be easily accessed and modified.
It is possible to view, create and to report on all color usage within EPS files utilised by the document.
It reports on whether TIFF and EPS graphics are RGB or CMYK files
The user can specify custom CMYK screen angles to use for printing, thus preventing moire pattern.
The File Mover option allows you to select a file and specify the destination disk and/or folder where you want to copy the file. The file and all its linked files (Including DCS files if required) will be transferred. When moving or copying a file, the user may select to also move the XPress Preferences file and any other required auxiliary files at the same time.
If any linked graphics are missing or modified, the XTension provides an 'Auto Find' utility which is a high performance search tool that will search through predefined volumes or folders for the missing graphics. The user can completely control the process by specifying default search paths.
When moving files the XTension will also optionally present a 'Special Instructions' Dialog which allows the user to direct the receiver as to what Print Medium, Film setting, Screen lines setting, etc. to use. Shipping and general comment fields are also provided. This feature also shows you what color plates are required for each individual page, therefore you can accurately instruct as to what plates are to be output on a page by page basis. All Items in the Special Instruction dialog are user configurable, therefore you can decide exactly what choices you would like to have in the Popup menus that appear. FUNCTIONS
Each CompuSense XTension that is sold, has been configured to run with an individual copy of XPress (i.e., tied to the serial number). If the XTension is launched with a copy of XPress having a serial number other than this, the XTensions functionality will not be available.
Once QuarkXPress is launched with the ColorManager XTension present in the program folder, the item 'Color' will be available on the main menu bar.
The first option of the pull down menu 'Color Usage
' allows you to search for, replace and otherwise manipulate the colors of objects such as text, lines, frames, and backgrounds in your current document. When this option is chosen the following dialog is presented: The top right hand section of this dialog contains radio buttons that allow you to choose the type of object you wish to manipulate.
Once one of the types is chosen, the XTension will scan through the whole document and record the pertinent color information for that kind of object. The various shades of each color that exist will also be maintained. The Color Separation setting for each color is also catalogued.
The dialog contains two main sections: Find What: and Change to:.
The Find what: portion contains a pop-up menu which lists all the colors, for the relevant type of object, that are currently being used in the document. If you change or add colors by using the Find/Change options, then this menu will be dynamically updated.
For each color in the menu, a Shade list will be maintained and updated. If you turn the Shade check box on, you can search for a particular color which has one of the shades listed in the shade pop-up menu.
In the Change to: section, the color pop-up menu contains a list of all the colors that have been defined for the currently open document. You may select any one of these.
If the shade check box is selected, you can specify what percentage shade the color of the selected item should be converted to.
Apop-up menu is provided. To specify the saturation of the color you are applying, either choose a predefined Shade from this pop-up menu, or else enter a value through the Other
dialog box.
You can enter Shade values from 0% to 100% in .001% increments.
To begin searching and replacing using the criteria you have specified, click Find Next; the next occur- rence will be highlighted and brought into view. If there is only one occurrence in the document and it is already highlighted, then a warning 'Beep' will be emitted.
To replace the highlighted occurrence with the Change to criteria, click Change.
To replace the highlighted occurrence with the Change to: criteria, and then find the next occurrence of the Find what specification, click Change,then Find.
To replace the highlighted occurrence and all other occurrences of the Find what: specification, click Change all.
Click the zoom box in the upper right corner of the Color Usage dialog box to reduce it's size and display more of the document.
This gives you a better view of the document while you search and replace. Click the zoom box again to expand the dialog box
An option is provided within the dialog to allow you to specify whether a color should be a spot color or a process color. Click the appropriate button in the Process Separation area. Click On to specify that the color selected in the Change to: pop-up menu should be a process color; Click Off to specify it as a spot color.
Click the Close box in the upper left corner of the Color Usage dialog box when you have finished making modifications.
The EPSF Usage
feature enables you to keep track of the custom and process colors that are used in high resolution EPS files.The EPS Color Usage dialog is displayed.
Note. If an EPS file is missing or cannot be found an error message is displayed. Once you click OK, a find file dialog box is provided to allow you to select the missing graphic file.
If you do not wish to search for this or other missing graphic file then select the Stop Searches button.
To display a selected EPS file, click Show Me. The XTension scrolls through the document and displays the selected picture from the list.
You have the option to specify the type of colors you want to list from the EPS file. Choose either the Spot or Process radio button.
If you click on the List Colors dialog button or double click on one of the file names in the list, the EPS color list dialog is displayed showing the colors contained in the selected file.
Once a color from the list is selected, the Color Exists check box indicates whether that color has been defined in the current document or not.
If the color does not exist for the current document and the XTension has been able to read the CMYK values for the custom color from the EPS file, then you can create that color by clicking on Create. You can specify if the new color should be Spot or Processed by selecting the appropriate button in the Process Separation area.
The Create and Edit and Edit Buttons display an Edit Color dialog which can be used to modify the selected color. If process separation is on then Cyan, Magenta, Yellow and Black fields will be displayed. If process separation is off then Red, Green and Blue fields will appear.
To modify a color enter a value between 0% and 100% in the appropriate fields.
If the color has already been defined for the document, you can specify it to be either a Spot or Process color by selecting the appropriate button in the Process Separation area.
The Create All button can be used to create all the colors appearing in an EPS file that do not already exist in the document color palette.
The EPSF Report
feature allows you to print a list of the colors that are used in high resolution EPS files contained within the current document. You will be presented with the EPSF Color Report dialog which is similar to the one presented to you when you are creating a new document within QuarkXPress. It allows you to specify the report's name, page size, and the position of it's margin guides, as well as to specify whether the report should be printed directly after it has been compiled. Once you are satisfied with all these settings, click OK to create the report.
The Screen Angles
feature allows you to specify custom CMYK screen angles to use for printing. Enter the appropriate values (to an accuracy of Four decimal places).
If at any stage you wish to revert to QuarkXPress's default values, click on the Revert to Default button.
Click OK when you are done.
The Color List
option presents you with a scrollable list of all the colors that appear in text, lines, backgrounds, frames as well as colors applied to TIFFs and PICTs.
Additional information provided in the list includes the color model used as well as the process separation setting for the color.
By selecting a color from the list, it is possible to view the constituent color percentages that are used in the color by clicking the List Percentages button.
Process Separation can be turned On or Off for all colors that appear in a document by selecting either the All sep On or All
Sep Off buttons respectively.
It is possible to get all of the above described information in a report format by using the Color Report
option from the main menu. A QuarkXPress document containing the pertinent details is created and optionally printed.
The Picture List
option is similar to the Picture Usage
feature as found under the Utilities menu. Its purpose is to allow users to tell whether TIFF and EPS graphics are RGB or CMYK files. This information is listed under the Type heading.
The Mover option allows you to copy a file to a destination folder. If the document has some missing attached graphic files then you can specify default folders that the ColorManager should scan in an effort to locate the relevant files. Selecting 'AutoFind Defaults' from the menu presents the following dialog:
The 'Add Path' and 'Remove Path' buttons allow you to designate the folders where searching will take place.
Folders will be searched in the order that they are listed.
If the 'All Volumes' button is selected then every volume currently mounted is added to the list.
Clicking under the Search Subfolders heading controls whether subfolders within the specified folder will be searched or not.
If the Match Originals File Type check box is turned on then a missing file will be moved if both the file name and the file type match that of the original graphic file in the document. If this option is off then only the file names are compared in the search process.
Special Instructions Setup
At the end of the 'Move File' procedure the XTension will optionally present a 'Special Instructions' Dialog which allows you to direct the recipient as to what Print Medium, Film setting,
Screen line setting, and Resolution to use. All Items in the Special Instruction dialog are user configurable. You can use the 'Instructions Defaults' menu option to customise this dialog to your particular needs.
The 'Titles' list on the left hand side of the dialog contains the names of the seven popup menus provided in the Special Instructions dialog. By clicking on any of these you can edit or alter the menu items for that particular popup.
The Items listed on the right reflect the current contents of the popup. The 'Insert', 'Replace' and 'Remove' buttons can be used modify the old menu items.
Details listing the creators contact name, address etc. will be included as part of the Special instructions file that is created. You can enter your own relevant particulars through this dialog.
The Mover submenu provides a number of utilities to help you to easily prepare a job for delivery to a service bureau for output. It will copy all the required graphic files as well as the original file to a designated destination.
By selecting FileMover
a standard file dialog will appear allowing you to choose the file to be moved.
By clicking on the 'Move Fonts' check box, you can specify that all fonts used in the file should also be moved. All screen and printer fonts that can be located will be transferred.
When the 'Move Fonts' check box is selected, A 'Move EPS Fonts' check box is made available. This option allows you to move screen and printer fonts that are used by EPS files. The PostScript font name is matched up with an installed TrueType font, if one exists, if not, then a bitmapped font is copied.
Note. Most font manufacturers require that you license their font software before use. It is the user's responsibility to ensure that they are not in breach of copyright law.
By clicking on the 'Move Preferences' check box, the XPress Preferences file will be moved to the same destination as the other files.
The 'Delete Originals' check box allows you to specify whether the original copies of the moved files should be deleted once the files have been moved. Note. This option will also cause all the original linked graphics to be deleted. However the Preference file and the fonts will not be affected.
This option will produce a text report for the document being moved. It includes general document attributes, as well as information about graphics, fonts, colors, style sheets etc. The report that is produced will be placed in the destination folder.
By selecting the Auto Find Graphics check box you ensure that the XTension will search for any missing graphic files using the criteria specified in the Auto Find Defaults.
If the 'Special Instructions' check box is turned on then a dialog will be displayed at the end of the move procedure to allow the user to give additional directions on how to handle the job.
Use the popups to specify what Print Medium, Film setting, Screen line setting, and Resolution to use. Popup menus to instruct the receiver as to the priority of the job as well as trapping instructions are available. Shipping and general comment fields are also provided.
This dialog also allows you to see exactly what color plates are required for each individual page, therefore you can accurately instruct as to what plates are to be output on a page by page basis.
All Items in the Special Instruction dialog are user configurable.
If a QuarkXPress document is open then that file may be moved by choosing the 'Move Current' button in the File.
Once the file to be moved has been chosen, then a dialog to select the destination folder will be presented. Use the standard controls to select the destination folder. The 'New Folder' button can be used to create a new destination folder.
Once the destination has been chosen the XTension will proceed to move all files and fonts as required. Reports will be generated according to the move settings.
The 'Font Mover
' option works similarly to the FileMover option just described, the difference being that only the file's fonts are moved. Once the relevant file and destination folder have been selected, a folder containing all the screen and printer fonts will be created.

The 'Move Defaults
' menu option allows the user to set defaults for the move dialogs and also to select files that should always be moved. These may include special files that may be necessary for printing the document or perhaps an auxiliary dictionary attached to the file.
The 'Add' and 'Remove' buttons allows you to select or delete files as required.
The functionality of the majority of the Check box items has already been explained.
The Screen Fonts in one suitcase allows you to have separate suitcase files for each family of fonts or else for them to be all copied into one suitcase.
If Printer and Screen Fonts in one folder option is selected, then the printer fonts will be copied to the same folder as the Screen fonts suitcase(s).
The AutoFind Printer Fonts option forces the XTension to search all of the paths specified in the AutoFind defaults
dialog for any printer font files that are missing.
The Screen Warnings option allows the user to have a dialog alert displayed if any fonts or graphic files cannot be located.
Certain fonts are always resident in some Postscript printers so it may be redundant to move them. The 'Exclude Printer Fonts' check box and Popup menu allow you to specify what printer fonts NOT to copy. Three sets of fonts are predefined. It is possible to see what fonts are included in the set by clicking on the 'List Set' button. This will display a list of all the printer fonts that will not be copied if Exclude Printer Fonts option is on.
If the Move DCS Separation Files option is on then any required DCS color separation files that can be found will be moved to the destination folder.
If the Collect Embedded EPS Files option is on then FlightAlert will extract the names of any such embedded files by reading EPSFs. It will then attempt to locate and copy all such files.
We recommend you make a back up of your original XTension disk, and keep the original in a safe place.
The ColorManager is easy to install, simply place the XTension file 'ColorManager' into the QuarkXPress program folder and launch QuarkXPress. New menus,commands and dialog boxes are seamlessly integrated into the program. If you wish to remove the XTensions functionality from XPress, just move the XTension file to a folder other that the one containing the XPress program.
