FONTXPRESS VERSION 5.0 FOR MACINTOSH

FontXpress™ for Macintosh is a stand-alone software application. FontXpress™ for Macintosh works in conjunction with the Collect For Output report from QuarkXPress™ to collect all of your QuarkXPress™ document fonts onto a disk for output by a service bureau. FontXpress™ for Macintosh will also alert you to potential output problems that may exist with your QuarkXPress™ document.

INSTALLING FONTXPRESS™ FOR MACINTOSH -

NOTE: FontXpress™ for Macintosh is a stand-alone software application. This approach allows more flexibility and ease of use as you will not need to have QuarkXPress™ running to use FontXpress™ for Macintosh. FontXpress™ for Macintosh does NOT need to be in your QuarkXpress™ XTensions™ folder in order to run.

To install FontXpress™ for Macintosh, simply double-click the installer icon. You will be prompted to select a hard drive location to store FontXpress™ for Macintosh.

REGISTERING FONTXPRESS™ FOR MACINTOSH -

When you first use FontXpress™ for Macintosh, you will be presented with a Registration Window. To register the full version you will need to fill in all of the information in the Registration window. Note that the valid serial number is printed on the installer CD. If you have not purchased a FontXpress™ for Macintosh serial number and would like to try a demonstration version, you can simply click the “Demonstration” button to continue. USING FONTXPRESS™ FOR MACINTOSH V5.0 -

- OPENING THE REPORT FILE

When you are ready to send your QuarkXPress™ document to a service bureau for output you will select the “Collect For Output” menu item from within the QuarkXPress™ application. QuarkXPress™ will then collect your QuarkXPress™ document and all related graphics into a folder, but will not include the document fonts. QuarkXPress™ will also generate a report file and will place it within the same folder.

To use FontXpress™ for Macintosh simply drag and drop the QuarkXPress™ report file icon onto the FontXpress™ for Macintosh application icon. FontXpress™ will automatically launch and will then open the report file. Alternatively you can launch FontXpress™ by double-clicking the FontXpress™ for Macintosh application icon. After FontXpress™ for Macintosh has launched, you can then drag and drop a report file directly into the main window in FontXpress™. Finally, you may choose to use the “Open QuarkXPress™ Report File” menu item under the File menu. You can also select this menu item by holding down the Control key and then clicking anywhere within the FontXpress™ main window at any time. This will present a contextual menu that contains relevant menu items to choose from.

- COLLECTING FONTS

After the QuarkXPress™ report file is opened in FontXpress™, you will see the font names listed in the main window. The font names are divided by types into separate lists. FontXpress™ will list any screen fonts (or “bitmaps fonts”) in the top-most list titled “Document Screen Fonts”. This list includes both true-type bitmap fonts and normal bitmap fonts. In the center list titled “Document PostScript Fonts” FontXpress will show the names of the PostScript™ font files. This list will also include the internal PostScript style name of any TrueType fonts that are used in your QuarkXPress™ document. The bottom-most list titled “Document EPS Fonts” will list any fonts that are used in imported EPS graphics files. This list does not use a separate name for the screen font and the PostScript font, instead these fonts are listed using their internal PostScript style name. FontXpress however will collect both screen fonts and PostScript fonts of any EPS graphics used in your QuarkXPress™ document.

TIP: The font names lists in FontXpress can be resized at any time using the size handles in the center frame area of each list. The list can also be sorted alphabetically or by collected status simply by clicking the title header of each list.

After the report file is opened and the fonts are listed in their appropriate lists, you may see a small preview picture of the QuarkXPress™ document in the Preview area of FontXpress™. If you do not see a preview image then be sure that when you save your QuarkXPress™ documents that you have the “Include Preview” option checked in the Save window of QuarkXPress™.

You will notice that there are three icon buttons under the preview area of the main window within FontXpress. Each of these buttons offer distinct features in FontXpress™:

VIEW DOCUMENT: This icon button is active and available (i.e. not “grayed out”) when your QuarkXPress document is available for viewing and hasn’t moved from it’s original location. You can click this button to have FontXpress™ open the document in QuarkXPress™ for viewing.

INFORMATION: This icon button will open the Information palette. Clicking this icon button with the information palette opened will cause the Information palette to close. Within the Information palette there are seven icon buttons. Each of these buttons will allow FontXpress to list relevant information about your QuarkXPress document (see Document information Palette)

TIP: The information palette has extended features. By double-clicking items in the information list FontXpress™ will open pictures, show document colors, etc.

PRE-PRESS ALERT: This icon button will allow FontXpress to examine the QuarkXPress™ report file for any output problems that may exist with your QuarkXPress™ document. If any problems are found, FontXpress will alert you by presenting a dialog window explaining the problem.

TIP: You can also access these button functions by holding down the Control key and clicking anywhere in the main window of FontXpress™. This will open a contextual menu that has the button functions.

After the report file is opened and the fonts are listed in the main window, the “Collect Fonts” button will be active
(i.e. not “grayed out”). To collect your document fonts click the “Collect Fonts” button. FontXpress will present a dialog window to locate a folder to collect the fonts into. After you select the appropriate folder, FontXpress™ will start the font collection process. FontXpress™ will first check your font menus for any fonts that are currently installed and active (i.e. currently available in your QuarkXPress™ font menu). After FontXpress™ has collected any opened fonts, it will determine if there are any uncollected fonts remaining. If so, FontXpress™ will then begin to search you hard drives or network servers listed in the Preferences window. FontXpress™ will continue to search until it finds all of the listed fonts, or the search is cancelled by holding down the command key and tying a period. When FontXpress™ has collected all of your fonts or has exhausted it’s search, it will present a dialog window indicating that the collection process is finished.

SETTING YOUR PREFERENCES -

The Preferences window allows you to set up FontXpress™ in a way that best suits your needs. To present the Preferences dialog window, select the “Preferences” menu item under the Edit menu, or simply type Command Y, or use the contextual menu by holding down the Control key and clicking the mouse within the main window.

The Preferences window contains many useful options:

FONTS FOLDERS FOR INITIAL SEARCH: This list contains folder paths to folders that contain you font libraries. FontXpress™ will search these folders when it needs to locate a font that is not loaded and active in the font menus of you applications. Folders can be added by clicking the “Add A Folder” icon button, and can be removed from the list by selecting the folder path (or paths) and clicking the “Remove Folder” icon button. If you need to add the System Fonts folder, you can simply click the “Add System Fonts Folder” button. This is a quick way to locate the System fonts folder for you. Note that you cannot add a folder path to the list more than once. Also note that although FontXpress™ will use these paths to start with, FontXpress™ will also continue “down” the path names to the main drive name until it finds all of the fonts.

TIP: any folder, hard drive, CD etc. can be added to the list my simply dragging and dropping the icon from the desktop and into the list.

COLLECTED FONT SIZES: This option will allow FontXpress™ to collect either a single point size for each collect font or all available point sizes for any collected font withing the same suitcase.

COLLECTED FONT TYPES: The option allows FontXpress™ to collect either all font types (bitmaps and TrueTypes), only bitmap fonts, or only TrueType fonts. This option is useful when you have mixed font types of the same font. Also, sone service bureaus do not support TrueType fonts, which may cause output problems.

PRE-PRESS ALERT: These options allow FontXpress™ to examine the report file for potential output problems. Each of the pre-press diagnosis tests can be turned on or off to customize your needs.

STUFFIT™ COMPRESSION: This option is available (i.e. not “grayed-out”) if you have the StuffIt™ Engine installed on your Macintosh. The StuffIt™ Engine can be downloaded and installed from Alladin Systems (http://www.alladinsys.com/) as part of the DropStuff™ software installer. With the StuffIt™ Engine installed, FontXpress™ provides file compression for your collected fonts. To have FontXpress™ copy and compress your collected font files into a single archive file, check the “Compress Collected Fonts”.

- If you want the compressed archive to be self-extracting (no software needed to de-compress the file), then check the “Create Self-Extracting Archive” option.

- If you will be sending the file as an e-mail attachment over the internet, you may need to have the archive converted to an internet compatible format (called “.hqx”, or “bin-hex”). Checking the “Encode For Internet” option allows FontXpress™ to convert the compressed archive to an internet-safe file format.

- If you want FontXpress™ to move the collected fonts to the Trash Can after compressing them into an archive copy, then check the “Trash Folder After Compressing” option.

CREATE A FOLDER FOR COLLECTED FONTS: the option allows FontXpress™ to create a new folder to collect your fonts into. The new folder is named after the report file name.

SHOW FOLDER AFTER COLLECTING FONTS: When checked, this option allows FontXpress™ to send a message to the Finder telling it to show the collected fonts folder on the desktop after the fonts are all collected.

COLLECT ANY REQUIRED XTENSIONS™: This option allows FontXpress™ to collect any required QuarkXPress™ XTensions into the collected fonts folder. Some QuarkXPress™ documents may require a QuarkXPress™ XTension before it can be opened by a service bureau.
