Job Time XT

Manual

1. Introduction

Are you not percurius about how many hours you have spend on a job with QuarkXPress?

Job Time gives you the answer. Job Time keeps record of the time you have spend on a document and stores this information with the document.

The Job Time data can be exported to an file wich can be imported in any spreadsheet or database program.

2. Job Time start screen

When a document is created or opened the Job Time startup screen will appear.

The user will be asked to fill in some information about the current document.

This information contains the name or company name of the customer, customer number, order number and description. Also the name of the employee and the task must be selected. This can be done by clicking on the popup menu and select a name or task, or it can be typed in manualy.

Since the job information is stored with the document, you do not have to fill in the costumers information again the next time you open the document.

If you open a document which already contains Job Time data, the information boxes will be dimmed. In case you want to modify this information, you need to click on the edit button to activate the information boxes.

You can continue to click on the OK button, or when you do not want to activate Job Time for this current document, click on the work offline button.

Work offline can only be done when a document does not have any information.

If you press the Cancel button, the document will no be opened at all.

With the option Show/Hide Job Time you can enable and disable the Job Time palette.

This floating palette contains a task menu, and a radio button. The button and popup menu are disabled and grayed out when they do not have a function (for instance when no document is opened, or when Job Time is working offline).

With the radio button you can pause or activate timer. With the task popup menu you can switch between tasks.

4. Job Time menu

The extra option Job Time in the Utilities menu contains the following subentries: Budget, Status, Export and Settings.

4.1 The buget option

The Budget-option activates the Budget dialog. In this dialog you can enter the budget time for a task. The budget status is shown when you open a document.

The Status-option activates the Status window. The status window shows the history of the current document. Per activity you can see when a task was started and ended, how much time is spend on a job, the pause time, the date when the job was finished, and the name of the employee.

4.3 The Export function

With the Export function you can create a file which contains the history of the current document or a file which contains the total time worked on a task and on the document. These files can be read by a spreadsheet application or a database program for futher administrative tasks.

4.4 Job Time Settings

When you select the Settings-option, the settings dialog will appear. In this dialog you can specify whether the Job Time startup screen must be displayed after startup of QuarkXPress or not. This setting is only available if you have registrated copy of Job Time.

The settings dialog also contains the Export settings. With these settings you can specify the information that will be exported. Simply click on the check boxes to include or exclude the information.

The task and total time will always be exported. You can also specify whether you want to append on a excisting file, or clear the history after the export.

In the settings dialog you can also modify the task names and the main user name. When you modify a task the budget time will automaticly be erased. When a task is selected, there is no possibility to modify the task. (The task will be dimmed.)
