Multi Style II XT | Manual
Introduction
With the Multi Style II XT text can be fitted automatically with complex typographic specifications. This XTension is a must for everyone dealing with tables, ads, catalogs, brochures, magazines, newspapers and other complex formatting activities. Once the typographic variations (multistyles) have been defined, they can be easily copied and swiftly applied onto unformatted text. Multi Style II XT avoids repetitive actions and dramatically simplifies text formatting.
A multistyle contains style attributes for one or more words or paragraphs. It is even possible to specify various formatting styles within words and/or paragraphs. The various text styles can be applied in one single action onto unformatted text. Multi Style II XT analyses the target text and applies the created multistyle based on (sub)field separators.
Note!
In QuarkXPress 4.x or later it is possible to apply character style- sheets. This is a manual process, you first need to select words or characters before applying a character style sheet. When using MultiStyle II XT this is not needed.
QuarkCopyDesk
As the functionality of Multi Style II XT remains identical, this XTension is also valid for users of QuarkCopyDesk. The word Quark- XPress in this manual should then be read as QuarkCopyDesk.

Upon correct installation of the Multi Style II XT, the Utilities- menu has the additional item Multi Style II XT.
Copy & Apply
These commands are used to copy and apply text styles. They can also be accessed through the Multi Style II XT-palette (View, Show Multi Style II XT). In this palette, however, it is possible to apply the commands to words or paragraps and this needs to be indicated.
Insert hidden characters
This option is used to insert so-called hidden characters in the current document. These hidden characters will serve as (sub)field separators when copying and applying a multistyle. They are displayed on screen as small triangles but will not be printed.
Settings...
In the Settings-dialog, standard settings of Multi Style II XT can be modified. When selecting Settings (Utilities, Multi Style II XT, Settings), a dialog appears on screen.
Show startup screen after restart
This option can be enabled in order for the Multi Style II XT- startup screen to be displayed when starting QuarkXPress. This setting can only be activated once the copy of Multi Style II XT has been personalized with the correct serial number.
Key combination to Insert hidden characters With this option a shortcut can be defined to insert hidden characters.
Key combination to Copy a multistyle Use this option to define a key combination to copy the multistyle. Default setting is Command-Control-C.
Key combination to Apply a multistyle Use this option to define a key combination to apply the multistyle. Default setting is Command-Control-P.
Serial number In this field a serial number is required to personalize Multi Style II XT.
Options...
When selecting Options
, a dialog box appears on screen.
Dialog box Options current multistyle There are two kinds of dialogs, one for word multistyles and one for paragraph multistyles. Both dialogs look similar, apart for the second line indicating either the Word or Paragraph mode.
Set $20,- instead of $20,- Use this option to define which text specifications should be applied to new text. Stating a price for instance, a baseline shift and different point size for the cents after the decimal point may be required but not in the case of a minus sign after the decimal point (defined as subfield separator).
Example: 16,99 becomes 16,99 but 17,- remains 17,- (and not 17,-)
Field / Subfield Activate the possibilities from the Field and Subfield lists to define the separators, thereby indicating how new text should be formatted and it controls exactly which text specifications are copied. Field separators are used to detect text changes. Within these fields, subfield separators are used for more detailed analysis.
A field separator cannot be used as a subfield separator aswell. In other words, if a comma is defined as field separator, it can then not be used as a subfield separator. The last option selected is the one used. If a comma has been defined under Field and subsequently under Subfield, the comma under Field will be canceled. When a multistyle is applied in new text, the (sub)field separators will be set as those from the multistyle. If a shift-return has been defined in the multistyle and a tab in the new text, the tab will automatically be transformed into a shift-return.
User-defined word In this field a word can be typed which will be recognized as a field separator. Therefore there is no restriction to using just the default separators of Multi Style II XT.
Cancel/Restore/Default/OK
With Cancel any changes will not be saved and this dialog box will be closed. With Restore the settings are reset to the ones shown when the this dialog box was opened. With Default the default settings of Multi Style II XT are set. With OK any changes are saved and the dialog box will be closed.
Note! Be careful with these settings! Do not just create settings at random for this could evoke strange effects.
Multi Style II XT palette
After installation of Multi Style II XT and (re)launch of QuarkXPress the View-menu has the additional item Show- Multi Style II XT (or Hide...). When selecting Show Multi Style II XT (View + Show Multi Style II XT), a palette appears on screen.
Word/Paragraph Use these radio buttons to select whether Multi Style II XT works within word or paragraph mode. In Word mode, Multi Style II XT only copies text specifications, whereas in Paragraph mode paragraph settings are also copied (for example tab specifications and rules).
Save when copied When the checkbox is activated, the multistyle will be stored and saved under the name defined. To edit the name, a dialog box will appear. The new name will be listed at the bottom of the palette. In this way, multistyles can be saved while copying them.
Copy style Use this function to copy all the typographic settings of a certain multistyle, or simply use the key combination Control-Command-C. The combination can be changed in the dialog box Settings Multi Style II XT (Utilities, Multi Style II XT, Settings). Making sure not to use a combination that already exist!
Apply style Use this function to apply all typographic settings of the copied multistyle onto new text. The key combination Control-Command- P can be used. This combination can also be changed in the Settings Multi Style II XT dialog (Utilities, Multi Style II XT, Settings). Making sure not to use a combination that already exist!
Saved multistyles In the bottom part of the palette you can select the saved multi- styles. To obtain a list of all word multistyles, select Words; for a list of all paragraph multistyles, select Paragraphs. Click the name in the list and the multistyle will be applied instantly to the selected text.
Save multistyle
To save your multistyles, activate Save when copied in the floating palette (View, Show Multi Style II XT, Save when copied) and select Copy style. This will display the dialog box Options current multi- style where it is possible to define (sub)field separators used when analyzing new. Having defined the correct options and clicking OK, a dialog box will appear on screen.
Save multistyle (Word) In this dialog box it is possible to name the latest multistyle, define a key combination and record any comment.
Save with QuarkXPress Saving your multistyle with your application enables it to be used in more than one document. Consequently, each time you open a new document, the multistyles saved with your application will automatically be added to the new document.
Show options Use this button to view the options of the current multistyle. They cannot be altered.
OK / Cancel Use OK to save the multistyle and Cancel to stop the process.
Note! Alternatively save a multistyle by pressing the Option or Alt key while selecting the Copy style from the palette.
Edit Multistyles
Multistyles can be edited by selecting Multistyles in the Edit-menu. There are two methodes:
When editing multistyles while a document is open, only those saved with that document can be modified.
If no document is open, the multistyles saved with the QuarkXPress application can be modified. When selecting Multistyles from the Edit-menu (with a document open), a dialog box will appear on screen. Most of the buttons are grayed out at first but will be activated as soon as a multistyle is selected.
Multistyles
All the available multistyles are displayed in the list. This list shows all Word or Paragraph multistyles, depending on the selected radio button in the top right corner.
Word/Paragraph Use these radio buttons to choose between a Word or a Paragraph multistyle and to influence the multistyles to be displayed in the dialog box.
Edit This button will display the same dialog box as with Save multistyle (Word or Paragraph). The dialog box contains name, key combination and comments. Only these settings of the multistyle can be modified, not its contents!
Delete Use this button to remove a selected multistyle from a document (when a document is open), or from QuarkXPress (when no document is open). Multi Style II XT prompts a confirmation before deleting the multistyle.
Import multistyles
Use the option Import to add multistyles saved with the Export function, to the current document. When importing an existing multistyle, Multi Style II XT will ask whether or not the older version should be overwritten by the imported version. The existing key combinations will be checked during importation. Should a key combination already exist, there will be two options: Rename or Remove.
Export multistyles
Use this option to save some (or all of the) multistyles in a separate file. First the Export multistyles-dialog box will appear on screen:
When clicking the OK-button a Save-dialog will appear, a file name for the multistyle(s) to be exported needs to be defined. Use Select all to select all the multistyles displayed in the list.
Note! Using the Export and Import options multistyles can be passed on to other users, this methode also convenient for filing purposes!
Practice examples
In this chapter the aim is to get you started with Multi Style II XT by looking at practical examples. The following examples can be found in the Multi Style II XT Examples.qxp document supplied with the Multi Style II XTension.
Example 1: Bulleted lists
Applications like Microsoft Word have advanced features to create list items. In QuarkXPress bulleted lists are often created using a single character in the Zapf Dingbats font or an different pi-font followed by a tab character. Multi Style II XT will use the tab character as separator to detect the style range. The following example shows how to create list items using multistyles.
1 Define text and paragraph attributes for the first list item. In this case the Zapf Dingbats font is applied to the character n and inset settings have been made for the paragraph (Formats...).
Every paragraph starts with the character n followed by the tab-character
2 Activate the Paragraphs-radio button in the Multi Style II-palette and make sure that a part of the paragraph is selected. Activate the Save when copied-checkbox and click Copy Style. The Save multistyle (Paragraph)-dialog appears.
3 Enter a name for the multistyle in the Name-textfield. You can also enter a comment with a short description of the multistyle.When finished click the OK-button. The mulistyle will be added to the Multi Style II-palette and can be applied to other paragraphs.
4 Select every paragraph of the list and apply the saved multistyle by selecting the multistyle from the palette.
Example 2: Drop Caps
In QuarkXPress drop caps can be specified in the Formats-dialog (Style-menu). This drop cap will have the same character specifications as the text of the paragraph. In many publications the specifications of a drop cap differ from the character specifications of the text. By selecting a drop character, a character style sheet is created, but before applying the character stylesheet a drop cap character has to be selected first.
Using mulitstyles these specifications are applied with one click or key stroke, without having to select the drop cap character. The following example shows how to save the typographic specifications of a drop cap in a multistyle.
1 Create a drop cap using the Formats-dialog (Style-menu) and apply text attributes to the drop cap. In the shown example the font and color of drop cap differ from the specifications of the body text. Define the typographic attributes and copy the styles, make sure the option Save when copied is activated
2 As a drop cap is a paragraph specification select the Paragraphs- radio button in the Multi Style II-palette.
3 Make sure that a part of the paragraph is selected. Activate the Save when copied checkbox and click Copy Style. The Save multistyle (paragraph)-dialog appears.
4 Enter a name in the Name-field. When you activate the Save with QuarkXPress-feature the multistyle will be available in every document which is opened or created. Click the OK- button. The mulistyle will be added to the Multi Style II-palette and can be applied to other paragraphs.
5 Highlight some text of a different paragraph (select) and apply the saved multistyle from the Multi Style II XT-palette. Enter a name for the the new paragraph mulitstyle
Example 3: Table of contents
Multi Style II XT is also very helpful when creating table of contents. Multistyles can be applied to table of contents created using the List-feature of QuarkXPress.
1 Define text and paragraph attributes for the first item in the table of contents. In this example a paragraph rule is applied to the first paragraph using the Rules-feature of QuarkXPress. The text and paragraph attributes have been defined for the first table of contents item
2 Activate the Paragraphs-radio button in the Multi Style II-palette and select a part of the first paragraph (or make sure that the text cursor is placed inside this paragraph). Click the Copy Style- button.
3 Select the paragraphs of remaining table of contents items and click the Paste Style-button. The multistyle has been applied to the remaining table of contents items.
Example 4: Pricing and tables
The following example shows you how to copy styles from complex formatted text and to apply them onto unformatted text using Multi Style II XT.
1 Import or create a table using tabs.
2 Define the text attributes, baseline shifts and tabulator settings.
In this example the first tab character is replaced by a soft return (shift return) to meet the needs of the design. The other paragraphs still contain the tab character. When applying the multistyle the Multi Style II XT will match the separator structure and replace the first tab character of the selected paragraphs with a soft return.
Define the typographic attributes and copy the styles using the Copy Style-button of the Multi Style II-palette.
3 Select the typographic variations just created and click the Copy Style-button from the palette.
4 Select the unformatted text of the table and click the Paste Style- button of the palette. Define the typographic attributes and copy the styles using the Copy Style-button of the Multi Style II-palette .
Example 5: Custom field separator
A custom field separator can be used when typographic ranges only can be defined by specific characters or words inside the text. In the following example a colon is used as custom field separator.
1 Define the text attributes.
2 Make sure that the textcursor is placed in the first paragraph or select a part of this paragraph.
3 Select the Paragraphs-mode and Save when copied-checkbox. Click the Copy Style-button. The Save multistyle (Paragraph) dialog appears. Enter a name for the multistyle.
4 Enter a name for the multistyle. To define the colon as seperator click the options-button. The Options for current multistyle- dialog appears. A colon is entered in the User-defined separator Word-text field.
5 Select the User-defined separator word:-checkbox and enter a colon in the text field. In this case a single character is used, but it is also possible to enter a word as separator item. When finished click OK. The Save multistyle (Paragraph)-dialog appears again. Click the OK-button in this dialog and the new multistyle appears in the Multi Style II-palette.
6 Select the remaining paragraphs and apply the new multistyle.A colon is entered in the User-defined separator Word-text field.
With Multi Style II XT it is possible to copy the specifications of multiple selected paragraphs.This example shows how to copy and apply paragraph rules.
1 Define the text and paragraph attributes for the first two paragraphs. The colored bars are created using the paragraph rules feature of QuarkXPress.
2 Activate the Paragraphs-radio button in the Multi Style II-palette and select the first two paragraphs. Click the Copy Style-button.
3 Select the remaining paragraphs and click the Paste Style-button.
Installation
Please follow the steps below to install the software.
Installation instructions for Mac OS
1 Insert the Techno Design cd-rom. Locate and open the Multi Style II XT-folder.
2 Double click the installer icon.
3 When the License-dialog box appears, read the license terms and click Accept.
4 Follow the instructions on screen.
5 When multiple copies/versions of QuarkXPress are installed, the appropriate QuarkXPress application folder needs to be selected.
6 (Re)start QuarkXPress. After restarting QuarkXPress the Multi Style II XT will be recognised automatically.
The installer will place the Multi Style II XT software inside the XTensions folder of the chosen QuarkXPress folder.
Central exceptions folder plus relevant files will be placed in the automatically created folder Multi Style II XT inside the QuarkXPress folder.
The installer will also clean up older versions of the product.
A Techno Design folder has been created on the desktop. This folder contains information on how to change the demo to a fully operational version, or update a previous version of the software. Previous versions are automatically extracted from the XTensions folder in QuarkXPress and placed in the new Techno Design folder.
Installation instructions for Windows
1 Insert the Techno Design cd-rom. Locate and open the Multi Style II XT-folder.
2 Double click the setup icon.
3 When the License-dialog box appears, read the license terms and click Yes.
4 Follow the instructions on screen.
5 When multiple copies/versions of QuarkXPress are installed, the appropriate QuarkXPress application folder needs to be selected. Select the appropriate QuarkXPress application .
6 (Re)start QuarkXPress. After restarting QuarkXPress the Multi Style II XT will be recognised automatically.
The installer will place the Multi Style II XT software inside the XTensions folder of the chosen QuarkXPress directory.
Central exceptions folder plus relevant files will be placed in the automatically created folder Multi Style II XT inside the QuarkXPress directory.
The installer will also clean up older versions of the product.
Serialize the product
After the installation, the XTension will work as a demonstration version. This is a fully working version which has no limitations on functionality but can only be used for a limited number of days. To change the demonstration into a fully working version you need to enter a serial number. On purchase of the Multi Style II XT a serial number is provided. The serial number is located in the following places:
On the printed Registration card
On the printed Personal data card
When purchasing the product via a download service, the serial number may be in the e-mail receipt from the service or in the electronic user license agreement received from this service. The serial number consists of 18 characters. Follow these steps to convert the demonstration into a fully working version:
1 Select Multi Style II XT from the Utilities menu.
2 Select Settings from the Multi Style II XT menu.
3 Select the appropriate language module from the Select language module pop-up menu. Enter your serial number.
Note!
Since Multi Style II XT becomes a part of the QuarkXPress software, it is essential for accurate performance of Multi Style II XT, that QuarkXPress has itself been installed correctly.
Upon loading of Multi Style II XT, the Utilities-menu has the Multi Style II XT-menu.
Registration
It is essential to register your copy of Multi Style II XT in order to receive technical support and information on updates. A registration card is included with the software, upon receipt of the completed, posted card, registration will take place. It is also possible to register on our web site: www.techno-design.com. The supplied Personal data card is for your own records. This card contains important information on the obtained product. Keep it in a safe place.
