Introducing Badia Printools 3.0
Badia Printools 3.0 is an XTension for QuarkXPress 5.0 that is designed to take the uncertainty and guessing out of printing. For starters, it incorporates an interactive print preview which gives you an immediate visual feedback of the way the printed piece will look, together with the actual page contents and printer marks. A collection of powerful time-saver tools, including two for batch printing and preflighting, will make complicated tasks seem effortless. And to streamline everyday production, Printools allows you to print selected items from a page, add a page border, change the page slug text, generate PostScript files, save print styles, output picture usage or style sheets, track revisions and editing time, and more.
The Printools Pane
Printools adds a new tab to the Print dialog and it also expands the dialog size to accommodate the live preview: The Printools pane is organized into five groups of controls:
The Print pop-up menu allows you to choose between printing the current document (always the default option), selected items from the document (if applicable), and any of the various usage reports: color, font, picture or style sheets. Only one of these options can be selected at a time.
The Tools pull-down menu contains several unique
Printools features. All the options end with an ellipsis (
), indicating that a new dialog will be opened following the selection. You can create a new print style, redefine an existing one, preflight the entire document to check for common problems, rename the printed file, batch print documents, print to file, and more.
The Live Preview area controls whether to display the print preview to the right or bottom of the Print dialog, which page or spread to display, and a button to temporarily display a full-screen representation of the preview.
The Page Slug scrollable window provides a list of the tags that are printed on the top of the page when registration marks are set, and in the same order in which they will print. You can select which tags you want to print, as well as define custom ones.
The Page Border area allows you to add a border around pages or spreads only during the output stage.
You can specify its width, color and style.
Selections you make using the Print pop-up menu are remembered only during the current output session. Once you close the Print dialog, they are lost. The same is true when you use the Rename at Print, Batch Print, Print to File or Print Single Pages to File features from the Tools pull-down menu.
Settings that are changed from the Page Slug or Page Border areas are saved with the current document when you hit Print or Capture Settings, provided that the respective preferences options are set. (See the section Setting Up Printools Preferences on page 18.)
NOTES
None of the Printools features are available when master pages are displayed.
(Mac OS only) You should not use any of Printools special features when creating a faxable output with Badia FaxReady XT.
Printools Live Preview
One of the most powerful features of Printools is its ability to display a live preview. Live means that its contents get updated in real time as you change the print settings, giving you immediate feedback as to the way those changes will affect the final output. By default, the Live Preview button is checked, but you can turn it off at any time.
While the Print dialog is open, you can view any page or spread of the document using the Page (or Spread) pop-up menu. Printools always displays section page numbers, not absolute page position (for example, the first page of the document may have a section page number of 10). As well, Printools shows the current document page every time you open the Print dialog.
Printools automatically refreshes the live preview every time a new setting is chosen in the Print dialog, regardless of the tab currently selected. When you enter new values for numerical fields (for example, the field Reduce or Enlarge), Printools will display the change once you place the cursor on another numerical field, press the
Tab key, or switch to another tab.
TIP
You can force a live preview update at any time by positioning the mouse anywhere over the live preview thumbnail.
The live preview window consists of three main areas: the paper area, the imageable area, and the page area: The paper area is the physical paper or film matter, and it is determined by the current PostScript Printer Description (PPD) file and paper size. You specify these settings in the Printer Description and Paper Size options of the Setup Print tab.
The imageable area is the portion of the paper area in which printing can occur, i.e., the paper area minus the paper margins. The current PPD and paper size determine the imageable area. For imagesetters, the imageable area is the same as the paper area, as there are no paper margins. Printools shows the imageable area using a red outline, and it does not display portions of the page that fall beyond these limits. This allows you to see whether some page information gets clipped when printed.
The page area is the document page or spread (selected with Printools Page/Spread pop-up menu) as it will be printed in the paper area. When bleed is added, the paper area will be larger than the actual document page or spread size.
Changing the paper area dimensions dictates the live preview scaling at which all the visible items in the live preview will be displayed, including the page area. For example, an 8.5" x 11" page on tabloid-size paper will look smaller than on a lettersized sheet, because more scaling is required to fit the tabloid paper area within the live preview window.
To temporarily display a full-screen representation of Printools live preview, click on the button. Click again anywhere on the screen to return to normal view.
Shortcut Buttons
Several buttons to the right and at the bottom of the live preview let you control common print settings and give you preview display options. Only the buttons to the right of the live preview actually change print settings.
The top eight buttons of the toolbar to the right may be pressed on or off. If a button is highlighted, it indicates that that particular print setting is turned on; if a button is not highlighted, it indicates that that setting is off. Please note that for QuarkXPress controls with more than two options (Page Positioning, for example), Printools uses the two most common options for the corresponding shortcut.
The bottom section of the toolbar to the right controls the output scale, which corresponds to the Reduce or Enlarge field of QuarkXPress. Click on the Enlarge Scale button to increase the output scale by 1% increments (to a maximum of 400%); click on the Reduce Scale button to reduce the output scale by 1% amounts (to a minimum of 25%).
Clicking on the Current Scale field (between the Reduce and Enlarge Scale buttons) brings up the dialog shown.
You can type in a new scale amount or choose any of the preset values from the pop-up menu. To fit the page in the print area, click the Fit in Print Area button.

Live Preview with Standard Print Settings
We are going to discuss how the standard settings that you select in the Print dialog affect the way Printools displays them in the live preview.
Page Positioning
The Page Positioning option under the Setup Print tab allows you to position the page area within the paper area: Left Edge, Center, Center Horizontal, and Center Vertical (not all options may be available, depending on other print settings).
Note that the page area is positioned starting at the paper area, not the imageable area, which may result in some elements of the page being cut off. If you print your page with registration marks, however, the page area will start at the imageable area.
Orientation
A great feature of Printools live preview is its ability to rotate the page area, not the paper area, when you choose the landscape paper orientation option in the Setup
Print tab.
As you can see in the example at the right, with Printools you no longer have to cross your fingers and hope you chose the right paper orientation.
Left Edge Center Center Horizontal Center Vertical Printools rotates the page area, not the paper area, when the landscape orientation is chosen.
Print Colors As
When you select an option using the Print Colors pop-up menu (under the Output tab), Printools will follow suit, simulating colors and grays as they will appear when output. If the current PPD supports color output, you will see these choices: Black & White, Grayscale, Composite CMYK and Composite RGB. Selecting any of the color options will result in Printools displaying a live color preview, whereas a black and white or grayscale preview will otherwise be shown. For black and white printers, only the first two choices are available, so Printools will never show a color preview.
You will find this feature especially helpful if you often switch between color and black-and-white printers, since you might easily forget to select the right PPD for the selected printer.
NOTE
For imagesetters, Printools always shows a live color preview, regardless of the settings in the Print Color pop-up menu.
Furthermore, if you choose to print colors as Black & White, Printools will create a truly black and white representation (that is, no grayscales, just black or white).
Spreads
Choosing the Spreads option under the Document Print tab will print the current document as spreads instead of as single pages. Printools treats each spread as a single unit and displays them accordingly.
Page Sequence (single pages only)
When you select any of the page sequence settings, All, Odd or Even, Printools only displays the pages that can be printed (and displayed in the live preview) in the Page/
Spread pop-up menu, and grays out the ones that cannot, helping you see immediately which pages if any will be skipped during the output.
The Back to Front Print option allows you to reverse the order in which the document pages are to be printed. When this option is set, Printools displays the pages in the Page/Spread pop-up menu in reverse order.

Live Preview with Imagesetter Settings
Imagesetters are high-resolution output devices that produce your document pages on film or photo-sensitive paper. Most of them use roll-fed material, allowing you to print documents with almost no paper height limitations. Well discuss how settings used mostly for imagesetters are reflected in Printools live preview.
Registration Marks
Printools shows you exactly how the registration and crop marks will be added around the page area, taking into account the registration offset as well. When registration marks are on, the page slug is also shown at the top of the page.
If you choose Off Center from the Registration pop-up menu,
Printools will show how the left, right and bottom registration marks are offset from the center of the page.
Separations
When this setting is on, Printools will also add calibration bars to the left and at the bottom of the page to help you see that separations are being produced.
Bleed
Bleed is the amount added beyond the limits of the document page or spread to compensate for any offset produced when the paper is trimmed. For bleed to be effective, you also need to extend the affected document items outside the page limits.
Printools can also recognize all bleed settings specified with the latest
Custom Bleeds XTensions software.
You can now easily visualize the effect of the different kinds of bleeds, including asymmetric bleeds, with Printools.
Registration marks
Page Gap
This imagesetter-only option allows you to add a gap between pages. You may use this option when extra space is needed in order to cut the individual pages (especially if you are outputting with registration marks off, since pages will touch each other if no page gap is added).
The page gap is always added on top of the paper area, regardless of the page orientation, and is not affected by the page scaling.
Negative Printing and Page Flipping
Printools live preview also shows negative printing and page flipping. Most printers require negative film in order to produce plates, and they also specify on which side of the film the emulsion should be, since the film can be read from either side. You are probably familiar with the term right reading, emulsion down (RRED) as a film specification, meaning that the emulsion should be on the other side when you hold the film with the readable text facing you. You print a job with the emulsion side down by flipping the page either horizontally or vertically (or both).
Live Preview with Thumbnails Printing
Printools can also help you generate thumbnails of your pages. When the Thumbnails option under the Document Print tab is chosen, a representation of the first page of the thumbnails is shown.
TIP
You can change the size of the thumbnails interactively by holding down the Control (or Control Option/Alt) keys and clicking the mouse over the paper area.
Although Printools only shows you the first thumbnails page, you can still determine how many pages it will take to print the entire file by looking at Printools Page/ Spread pop-up menu.
Interactive Tiling
Printools introduces a really easy-to-use feature for manually tiling a page, giving true meaning to the term manual. You will no longer need to set the ruler origin in your document before opening the Print dialog. Nor will you have to print several times until you get the tiles right, especially if scaling is also involved. With
Printools, just drag the mouse over the live preview. Its that simple.
You have probably already noticed that when you position the mouse over the paper area of the live preview, the cursor becomes a hand cursor
( ). If you now click with the mouse and drag, the cursor becomes a grab hand cursor ( ). The page area will move within the paper area as you drag the mouse, clipping those portions of the page that fall outside the tiling area.
If the Tiling pop-up menu of the Document print tab is not set to Manual, you will be warned that manual tiling is about to be set.
Click OK to turn manual tiling on; otherwise click Cancel.
NOTE
When you manually tile a page with Printools, the ruler origin will change to the latest position after you close the Print dialog.
Live Preview with Automatic Tiling
You use automatic tiling when the page area is larger than the paper area and you dont want to resize the output to fit the paper. QuarkXPress will automatically print as many tiles as needed, and you can specify the overlap amount to easily arrange the tiles with each other to assemble the complete printout.
Printools can show you the way these tiles will look that is, what part of the document page will be printed on each tile, as well as the areas where overlapping occurs.
When automatic tiling is on, Printools switches the paper area and the page area: the page area always fits the live preview window, the paper area is shown with a blue outline, and the imageable area is not shown. (QuarkXPress takes into account the paper margins when creating the tiles, so you dont need to worry about imageable area.) In this example, you can see that nine tiles will be output, as well as the areas where overlapping occurs.
NOTE
Printools always shows absolute overlap, even when the Absolute Overlap button is not checked.
Printing Selected Items
With Printools, you can print certain items of a page or spread. Select the items you wish to print in your document, open the Print dialog, and choose Selected Items from the Print pop-up menu
under the Printools Print tab.
Printing only certain items of the page is useful if, for example, you have several images that take a lot of time to download, and all you need to see is a proof of the type.
Its also especially useful as a troubleshooting aid: if for some reason a page doesnt print or if it generates a PostScript error, you can try printing a few items at a time to determine which item or items are the ones causing the problem.
You can print comprehensive usage reports using Printools.
Because you cannot simultaneously select items that belong to different spreads, Printools will disable, in the Print/Spread pop-up menu, the pages that are not part of the spread containing the selected items.
NOTE
Pages specified in the page range field that dont belong to the spread containing the selected items will not be printed.
Printing Usage Reports
A unique feature of Printools is its ability to output usage reports for color, font and picture usage. You do this by selecting the report you wish to print in the Print pop-up menu.
The live preview shows you immediately how the report will look when printed, and the Page/Spread pop-up menu will tell you how many pages it will take (you can even view any of these pages individually).
All reports include the report title, the document name and the current date.
Color Usage Report
The color usage report contains a list of the document colors, specifying for each whether its a spot color (with a [.radical] or mark), the color name, a brief description that includes CMYK composition, and the halftone angle.
Font Usage Report
The font usage report contains information about the fonts used in the document and resembles the display in the Font Usage window. Two columns appear: the name of the font (with brackets for missing fonts) in the first column, and its style in the next.
Picture Usage Report
The picture usage report contains the same information as the Picture Usage window: print status (using a [.radical] or mark), picture name, picture full path, page, type and status. (Printools displays the name separately from the path.)
Style Sheets Report
The style sheets report gathers all style sheet information from the current document. For each paragraph style you get the following information: style name, based-on style, next style, paragraph formats, tab positions, rule above and below settings, and character settings. For each character style the following information is printed: style name, based-on style, font, style, size, color, shade, scale, track and baseline shift.
Saving Usage Reports
If the preference setting Before Printing > Save Usage Report is set, you have the option of saving the usage report as a formatted QuarkXPress document before printing it.
NOTE Printools will not open this report document after it is saved.
Specifying a Custom Page Slug
With Printools you will be able to customize the page slug printed when registration marks are on. The standard
QuarkXPress slug consists of these tags: document name, date, time, page number and color plate (if applicable).
You can now add up to nine additional tags that can be printed following the standard ones: Revision Number, Editing Time, Owner Name, Machine Name, Line Screen, Emulsion, Bleed, Scaling and Custom.
Printools page slug list contains the standard QuarkXPress tags which always print followed by the new additional tags. You cannot select or modify any of the standard tags. Three columns are shown: the first one controls whether or not the tag prints, the second contains the name of the tag, and the third displays the actual tag as it will look when printed. The printable legend can only be changed for the revision and editing time tags.
To print any of Printools tags, click on the corresponding row under the Print column. Click again to uncheck it. Or select the row and use the pull-down menu next to the column title and choose either Yes or No. You can also select more than one row at a time and change their print status together.
The revision tag keeps track of the number of times the current document has been revised. Each time you open the document and a new modification date is stamped in the file, Printools will automatically increase this number by 1. If you want to reset or specify a different revision number, double click this row or select Other from the pull-down menu next to the Printable Legend column title.
The editing time tag indicates the time in hours and minutes that has elapsed since the document was opened. Printools automatically updates this tag for you.
The owner and machine names tags are those that you specify in the File Sharing control panel (Mac OS) or current User Settings and Network Computer Name (Windows). By using these tags, you can easily trace which machine and operator have printed a certain job.
The line screen, emulsion, bleed and scaling tags can be especially useful for doublechecking that the correct settings were used when producing high-resolution output.
And the custom tag can be any piece of information you find relevant to the current job. Double click this row or select Other from the pull-down menu next to the Printable Legend column title to enter your custom legend.
When adding extra page tags, you should be aware that some of them may get cut off if they extend beyond the paper area. To avoid this, use Printools live preview as you add page tags to see how they will be printed.
Adding a Page Border
To add a border around the pages or spreads being printed, click on the Page Border option and specify its width, color and style.
You will commonly use this feature when outputting intermediate proofs on oversized paper to get a visual reference for the way a page will look when printed and trimmed, or perhaps as a way to determine whether certain elements of the page are too close to the trim.
Printools adds this border only during the output session, not within the actual document. If you are printing pages as spreads, the border will outline the entire spread as if it were a single unit.
Using the Tools Pull-Down Menu
The Tools pull-down menu contains high-performance Printools features, from preflighting the current document to batch printing it with additional files. A detailed description of each of these tools follows.
Creating a New Print Style
To save all the current output settings under a new print style, select New Print Style from the Tools menu. Enter a new name and select whether you want to include, along with this style definition, page slug, page border and custom bleeds settings (custom bleeds are only available if the XTensions software Custom Bleeds is loaded). Once you hit
OK, the Print Style pop-up menu in the Print dialog indicates the newly created style.
Print styles created with Printools get saved with the QuarkXPress application, so you can use them later on with other documents as you would with any print style.
Redefining a Print Style
This handy tool allows you to override the settings stored in the selected print style with the current output settings. This tool is only available if a print style other than Default is selected, and after one or more of the style settings has been locally changed in the Print dialog (in other words, if a or * precedes the print style name). A warning dialog asks you whether you are sure you want to proceed.
Preflighting the Current Document
Printools comprehensive preflighting tool checks for common document problems that can lead to time and material waste. For example, you may be outputting separations with a picture stored in RGB format, which will not separate correctly. Or perhaps the suppress printout setting of a text box was accidentally checked when editing the document. These and other common mistakes are quickly scanned and gathered together by Printools when you select the Preflight tool.
The preflight results window contains a list of all the problems found (if any).
You can double click on any row, or select the row and hit the Show button, to display on screen the item with the problem.
If you want to temporarily hide the Print dialog (so you have more room to see each selected item), click on the Hide Print Dialog button.
NOTE Printools always preflights the entire document, regardless of the pages being printed.
Here is the checklist performed by Printools (you can control which ones to activate in the Printools Preferences pane. See also Setting Up Printools Preferences later on): When a problem is detected, it does not necessarily mean that the document cannot or should not be printed. Its just a warning, which you can choose to ignore if you are certain the results will not be harmful.
Saving Preflight Results
You can save the results displayed in Printools Preflight window as a text file. Just click the Save Results button and a dialog will prompt you to select the name of the file and the folder in which you want the results saved.
Auto Preflighting
If you set the preference Before Printing -> Preflight Document, you can have Printools automatically check every document before it is printed (that is, after you click the Print button). If a problem is found, the preflight window will halt the printing process until you click on the Continue or Cancel Printing buttons. When no problems are found, the preflight window will automatically close and printing will resume.
Renaming at Print
Printools can rename the document during the output stage, without altering the actual document name. This is done at the PostScript level, not just the file name level. Printing a file with a different name is useful in pre-press environments, as certain RIPs, for example, will not accept long document names. It is also helpful in keeping track of revisions or when printing individual pages for manual imposition. Although you could save the document under another name,
EPS images with JPEG compression

Effective picture resolution* lower than threshold specified in preferences
*Effective picture resolution takes into account the scaling of the image in QuarkXPress. For example, a 150 dpi image imported at a 50% scale will yield a 300 dpi effective resolution (because there are twice as many pixels per inch as there would be if it were imported at 100%).

Printools saves you several steps while at the same time preventing duplicates of the same file.
To rename the output file without changing the original file name printed on the page slug, check the Keep original file name on page slug button. This selection will be saved as an application preference.
Printools also remembers the last file name you used in the Rename at Print dialog. Click on the Last Name button to bring back this name.
Printools will indicate that renaming at print has been activated by adding a [.radical] (Mac OS) or * (Windows) before the Rename at Print entry of the Tools pull-down menu.
Auto Renaming
If you set the preference Before Printing -> Ask to Rename Document, the Rename at Print dialog will automatically be displayed after the Print dialog has been dismissed (and before printing starts). Click the Dont Rename button to continue printing without renaming.
Batch Printing
Batch printing is the term used to designate printing several documents at once with the same print settings. With Printools you just set the output settings for the first of the documents to be printed, and then choose the files that you want to print after that one (you can select up to 99 additional files). Once the batch print dialog is open, use the Shift (Mac OS) or Ctrl (Windows) key while selecting the document(s) you wish to print.
After you hit the Print button from the Print dialog, Printools will begin by printing the original document. Once this is printed, each of the other documents will be opened, printed and automatically closed. After all files have been printed, only the original document will remain open.
NOTES
If you choose the current document among those to be batch printed, it will be printed twice and no document will remain open after printing has finished.
When batch printing has been activated, the page range field will be disabled all pages will be printed.
Mac OS only:use the Shift key to select more than one file. Click on the triangles to expand folders and selected enclosed files.
Mac OS only: To select files from different folders, click on the respective triangles to expand the folder contents so that they all show under the same list. Click Choose when done.
Printools will indicate that batch printing has been activated by adding a [.radical] (Mac OS) or * (Windows) before the Batch Print entry of the Tools pull-down menu.
Print to File
To create a PostScript file dump of the current document, select Print to File. A dialog allows you to select the name and location where you want this file saved.
To indicate that batch printing has been activated, Printools will add [.radical] (Mac OS) or * (Windows) before the
Print to File entry of the Tools pull- down menu. After you hit Print, the printout will be saved in the file you previously specified.
TIP
You can combine the Batch Print and Print to File tools to generate PostScript files of a group of documents.
Print Single Pages to File
This is similar to Printing to File, but it creates a separate PostScript file for each page of the document. These files will have the suffix .ps1, .ps2, etc.
Picture Usage
This tool allows you to open the picture usage dialog directly while you are in the Print dialog.
Badia BigPicture (Mac only)
This tool allows you to open the Badia BigPicture usage dialog (if present).
Printools Preferences
This tool allows you to access the Printools preferences pane.
Setting Up Printools Preferences
Several preferences for Printools can be set up by selecting Edit>Preferences >Badia Printools. You can also access these preferences from Printools Tools pull-down menu in the Print dialog. The settings you select are considered to be Application Preferences: they get saved even after quitting QuarkXPress.
Save with Document
Select which settings are to be remembered between printing sessions after hitting
Print or Capture Settings. These options will also be saved with the document, as with the other Print settings. (You must save the document for this to take effect.)
Copies and Page Range are two exclusive Printools features that allow you to remember the content of those fields as well. (QuarkXPress does not remember the number of copies or page range settings, even when you use Capture Settings.
Printools closes this gap.)
Before Printing
You can specify here which Printools features you want activated after the print dialog is dismissed (and before printing starts): Preflight Document, Ask to Rename Document and Save Usage Report (only applicable when currently printing a usage report).
Usage Report
Here you can select the default report document size: US Letter, US Legal, and A4 Letter. To display a dialog that allows you to save the usage report as a QuarkXPress document before printing it, you must also select the Save Usage Report check button.
Preflight Checks
This section of the preferences panel allows you to customize which checks will be performed by Printools when preflighting a document.
Printools can remember the number of copies and page range between printing sessions.
Printools can also show the name of the selected printer (Mac OS)
Miscellaneous
Show Printer Name (Mac OS only)
Another exclusive feature of Printools. With QuarkXPress 4, you can no longer see the name of the selected printer when you open the Print dialog (you could with earlier versions).
When this setting is on, Printools will show the printer name beside the Print Style pop-up menu (which it compresses to accommodate the new field).
Center Print Dialog in Document
Select this option to center the Print dialog horizontally within the document window.
NOTE
Whether you checked or unchecked the Live Preview button is also remembered by
Printools after hitting the Print or Capture Settings buttons. The same is true for the Keep original file name on page slug button inside the Rename at Print dialog. These choices are saved as Application Preferences.
Warning and Error Messages
Not enough memory to load Printools XT. Try allocating more memory to QuarkXPress.
Theres not enough memory to launch QuarkXPress with Printools. Printools requires approximately 2 Mb of additional RAM. Mac OS: Quit QuarkXPress and try increasing the Preferred Size under the Memory option (in the Finder, select the QuarkXPress application and choose File>Get Info). Windows: Close applications, windows and XTensions that you are not using and relaunch QuarkXPress.
Error reading Print Style information.
An error has occurred while Printools was accessing print style information. If this problem persists, you may need to delete the XPress Preferences.prf file inside the Preferences folder of the QuarkXPress folder, in order to force QuarkXPress to create a new one.
Not enough memory to render live preview. Not enough memory to render full-screen preview.
Printools does not have enough memory to render the live preview or the full- screen representation of the live preview. Mac OS: Quit QuarkXPress and try increasing the Preferred Size under the Memory option (in the Finder, select the QuarkXPress application and choose File>Get Info). Windows: Close applications, windows and XTensions that you are not using and relaunch QuarkXPress.
Cannot read file information (Preflighting window)
An error occurred while attempting to get image information for preflighting purposes. The image may be OK, but no preflighting tests could be performed.
